Minutes of Business Meeting (Approved)

Time: 9:00-10:00 a.m. Serials Workshop on Continuing Resources

Libby Flynn presented a workshop on how to determine if a new serial record is necessary, how "to close" the entry of serial records and how to link the old and new records using the 780 and 785 tags. She also talked about reporting "dead" serials; it was decided that owning libraries should report dead serials via email.

I. Public Comment Period

No members of the public were present.

II. Introduction of any guests

No guests were present.

III. Approval of Minutes from previous meeting

Minutes for the September 27. 2007 meeting were approved with corrections.

IV. Announcements

Belvedere Tiburon announced that Abbot Chambers has been promoted to Assistant Director for Library Operations. Patricia McDonough has been hired to fill a Library Assistant I position in Circulation.

Marin County Free announced that San Anselmo has asked them to revise their copy cataloging. Libby Flynn and Jamie Gold will go to San Anselmo to train their library assistants. Discussion followed as to how other jurisdictions will handle this change.

Mill Valley has a new website in combination with the City of Mill Valley site. Mill Valley is circulating mini-speakers for Playaways.

Sausalito has a new website in combination with the City of Sausalito site.

San Rafael has hired a new part time Library Assistant in Technical Services and two new part time Library Assistants in Circulation. Building renovations are almost finished.

There were no additions to the agenda.

VI. Standing Agenda items

A. MARINet Updates (MARINet Systems Administrator)

A demo of the Children's Interface was presented. Deb talked about the bibliographic display and the new icons. There are no partner links on the Children's Interface. Deb also showed the new version of MyMARINet.

B. MARINet Board News (MARINet Board Liaison)

Anji Brenner said that the Board is reviewing the JPA. Also, a ILL taskforce has been created and will make recommendations to the Board.

C. Millennium Cataloging Tips Sharing (All)

Libby Flynn demonstrated Global Update as a way to verify headings and to see specific parts of a record. She also talked about Record View Properties. MCFL and MARINet offered to clean up headings that need to be updated.

VII. Old Business

A.Updating Cataloging Samples

Elaine Crepeau reported that she and Jamie Gold had decided on the types of samples to include. They are working on choosing the actual samples and on the instructional sheet.

B. Updates on Goals

Kristen Clark and Lidia Rajeff made a list of all duties discussed at the previous meeting. They will edit it as needed. We need to do a cleanup to bring the database up to a level where regular maintenance can be scheduled efficiently.

A discussion about how bibliographic records are getting suppressed or deleted followed. Libby Flynn suggested that we have only bibliographic records and current order records; old order records would be deleted.

Also, we tabled cleaning up initial articles in order records topic.

Deb Moehrke demonstrated broken barcode numbers that need to be fixed.

C. Publicizing Foreign Film access points

Elaine Crepeau will post the subject headings for foreign films on MUD at the request of the Public Service Committee.

D. OCLC Cleanup Project

E. Progress on Local Author Subject Heading Clean up

Libby reported that MCFL had almost finished cleaning up their portion of the local author subject headings. Belvedere Tiburon has started cleaning up their share. MCFL volunteered to clean up the headings for the smaller jurisdictions.

VIII. New Business

A. Report from CLA about RDA (Resource Description & Access)

Libby Flynn handed out a print copy of a PowerPoint session on Resource Description & Access by Julie Renee Moore, CSU, Fresno.

B. Report from Northern California IUG

Libby Flynn briefly reported on the Northern California (NorCal) IUG held at Mills College, Oakland on November 16, 2007. Libby will send a full report via email soon.

C. Proposal to add subject heading for Newbery Award

MCFL reference librarians have proposed adding subject headings for Newbery Award winners to the bibliographic records. Catalogers were concerned that this proposal would have broader implications since there are multiple awards. The 586 field is already designated as the Awards note field and could be used. More discussion is needed on this topic.
